How to format a table on an Invoice-Quote-Credit Note-Purchase Order

Introduction

This guide describes how to edit a document template’s transaction table within the Template Editor component.

This is achieved by selecting the Templates component (Documents>Templates), selecting the type of template you wish to edit from the left column, next selecting the template you wish to edit from the list that appears, and clicking the Edit button.

First, in the Template Editor’s Page Elements Panel (located on the right side of the screen), double click on the ‘Table Area’ folder to open it. The Table Area comprises all editable elements of the table itself.

The following editable transaction table elements should now be displayed:

  • TableData - Here you can edit the look and content of table itself
  • TableTotal - Here the user can edit the Totals box at the bottom of the table
  • Text - Here the user can edit the flowing text field located under the table

Click the relevant element in the Page Elements screen to select it (or click the element on the central Canvas itself).

TableData

The TableData element can be selected by clicking TABLEDATA in the TABLE AREA folder within the Page Elements panel, or by clicking on the appropriate area on the canvas. This element comprises all editable aspects of the transaction table itself (outlined in blue above), including column visibility and order, text size, colour. When you select the TableData element, the following properties panels are displayed on the right of the screen:

  • Position - This panel governs the position/alignment of the element. Click here for more information

TableTotal

The TableTotal element can be selected by clicking TABLETOTAL in the TABLE AREA folder within the Page Elements panel, or by clicking on the appropriate area on the canvas. This element controls all aspects of the Totals box at the bottom of the table (outlined in blue, above). It can be edited using the following properties panels to the right of the screen:

Text

The software automatically includes a flowing text area underneath the table (so, if the table changes size due to the number of transaction rows, the text box remains in position just under the transaction area). This is normally used for company terms and conditions.

The text area can be edited by selecting ‘TEXT’ in the TABLE AREA folder within the Page Elements panel, or by clicking on the area on the canvas. This causes the following editable properties panels to be displayed on the right of the screen:

  • Position - This panel governs the position/alignment of the element. Click here for more information
  • Text - This panel controls the text aspect of the element, including the content itself, plus font/padding, alignment, etc. Click here for more information

NB. Further text areas can also be added to (or removed from) the Table Area folder by selecting the relevant text field (labelled ‘TEXT’) in the Page Elements panel, then clicking the ‘Move elements in or out of the Text Area’ Icon Accounting Software screenshot property button move in out table icon.
